Templates act as the blueprint for all your AI-generated documents. ProPlaintiff.ai provides five pre-made templates you can use immediately, or you can build your own from scratch to fit your firm’s style and structure. Each template defines which sections your document will include.

Start by giving your template a clear name and structuring it with sections and subsections that fit your workflow.

Include your firm's custom letterhead, signature blocks, and contact information for a polished, branded appearance.

Adjust fonts, colors, and formatting styles to match your firm's visual identity.

Write prompts that guide the AI on content, tone, and structure so each section includes the appropriate information and follows your firm's preferred writing style.

Templates help standardize your documents, maintain consistent branding, and significantly reduce the time spent drafting repetitive documents.

Under the Document Sections tab, you'll define the structure and instructions the AI uses to generate content. Each section includes a title and an AI prompt that tells the system what information to include and how to format it.

If the information isn’t covered in your sections, the AI won’t generate it, so it’s important to build your templates thoughtfully.

If you're recreating a document your firm sends on a regular basis—such as a client letter, settlement letter, authorization, or other standardized document—you don't have to let the AI rewrite everything.

Instead, build the document so only the information that changes from case to case is generated dynamically.

Place any information you want the AI to populate from the case inside square brackets [ ].

Examples:

When the document is generated, ProPlaintiff.ai replaces these placeholders with information from the case.

Any wording you want to remain exactly the same every time should be enclosed in quotation marks " ".

This tells the AI to preserve the text exactly as written instead of rewriting or paraphrasing it.

Rather than asking the AI to write your opening paragraph, provide the exact language you'd like every document to begin with.

Prompt Example:

Verbatim only. Fill in the words in brackets with data from the file:
​"Dear [Insurance Company], The Ashley Law Firm represents [Client Name]..."

The AI will leave the quoted text unchanged while replacing the bracketed placeholders with the appropriate case information.

If the AI continues rewriting a section in a way you're not happy with, it's usually best to build that portion of the template from scratch.

Write the text exactly as you want it to appear, place any variable information inside brackets ([ ]), and surround the text you want preserved with quotation marks.

Once the template is complete, you'll only have to build it once. Every future document generated from that template becomes plug-and-play, automatically inserting case-specific information while preserving your firm's preferred language.

💡 Pro Tip: For standardized letters and forms, keep as much of the document fixed as possible and only use brackets for information that changes between clients. This produces more consistent and predictable results.

When you generate a Demand Letter or Medical Chronology, the AI looks at your selected template and follows the prompts you’ve written in each section to fill in case-specific details.

💡The more detailed and structured your prompts are, the more accurate and professional your generated documents will be.
