Upload a PDF, place the required signature fields, assign each field to the appropriate signer, and send the document when you're ready. Once all parties have completed the signing process, the signed PDF and certificate can be saved directly to the designated case.
Where to Find Signatures
Log in to ProPlaintiff.ai.
From the Main Navigation, select Signatures.
The Envelopes workspace will open.
From here, you can view your signature Templates and Sent envelopes, search existing templates, create new templates, and send documents for signature.
Create a Signature Template
If you have a document your firm regularly sends for signature, create a reusable signature template so you only have to configure the signing fields and roles once.
To get started:
Click New Template in the upper-right corner.
Upload the PDF you want to use.
Enter a Name for the template.
Add an optional Description for internal use by your team.
Click Create Template.
You will then be taken to the Signature Builder to configure the document.
Build Your Signature Template
The Signature Builder allows you to determine exactly what information each signer needs to complete.
Available fields include:
Signature
Text
Date
Initial
Select the field you want to add and place it in the appropriate location on the document.
You can add multiple fields throughout the PDF depending on the information and signatures your document requires.
Add Signer Roles
Signer roles determine who is responsible for completing each field in the document.
A template can include a single signer or multiple signer roles.
Select Add Role to create additional signers when more than one person needs to complete the document.
Each signer is assigned a different color within the Signature Builder, making it easier to see which fields belong to each person.
For example, a document requiring two signatures could include:
Signer 1: Text, Signature, and Date
Signer 2: Text, Signature, and Date
Make sure each field is assigned to the correct signer before saving your template.
Save Your Template
Once you have:
Added the necessary fields
Positioned the fields on the document
Created all required signer roles
Assigned each field to the appropriate signer
Click Save Template.
Saving your template allows you to reuse the configured document without rebuilding the signature fields and roles each time you need to send it.
You can return to the Templates section of Signatures to locate your saved templates.
Send a Document for Signature
When you're ready to use a template, select it from your Templates list and click Send or Send this.
The Send for Signature workflow will open and guide you through the sending process.
The workflow includes:

Send
Step 1: Details
Enter or review the Envelope Title.
You can also choose to Attach to Case by searching for and selecting the appropriate ProPlaintiff case.
Attaching the envelope to a case keeps the completed signature process connected to the matter it belongs to.
If a case is selected, once everyone has signed, the signed PDF and certificate will appear in:
Case Files → Signed Envelopes
Select Continue when you're ready to add your recipients.
Step 2: Recipients
Assign the appropriate recipient to each signer role you created in the template.
If your template contains multiple signing roles, make sure the correct person is assigned to each role before sending.
Additional Signer Verification
For an additional layer of verification, you can require individual signers to complete additional identity verification before their signature is accepted.
Depending on your requirements, you can require:
Face verification
ID verification
These requirements can be configured for each signer.
Pro Tip: For documents where additional identity verification is important, require the signer to provide a driver's license and complete a face scan before the signature is accepted.
Step 3: Review
Before sending, review the envelope to confirm:
The correct document is being sent
All signer roles have been assigned
Recipients are correct
Required verification settings are configured
The correct case has been selected, if applicable
This is your opportunity to verify the envelope before it is sent to the recipients.
Step 4: Send
Once everything is correct, send the envelope for signature.
The document will then move into the Sent area of Signatures, where you can access envelopes that have been sent for signing.
Templates and Sent Envelopes
The Signatures workspace separates your documents into two primary views:
Templates
Use Templates to view and search the reusable signature documents your firm has created.
Select a template to preview it, review its signing roles, edit it, or send it for signature.
Sent
Use Sent to access envelopes that have already been sent for signature.
This keeps reusable document templates separate from documents that are actively part of the signing process.
Saving Signed Documents to a Case
When sending an envelope, you can assign it to the appropriate case using Attach to Case.
Once all parties have signed, ProPlaintiff automatically places the completed signed PDF and certificate in:
Case Files → Signed Envelopes
This keeps the final signed document connected to the case and eliminates the need to manually download and upload the completed document.
