Overview
The Filevine integration allows you to connect your Filevine account to ProPlaintiff and import projects directly into the platform. Once connected, you can browse available Filevine projects, import them into ProPlaintiff, and keep your case data synchronized.
Where to Find the Filevine Integration
Click your profile menu in the bottom-left corner of ProPlaintiff.
Select Settings.
Under Connected Apps, click Connected Apps.
Scroll to the Data Migration section.
Locate Filevine and click Configure.
Prerequisites
Before connecting Filevine to ProPlaintiff, ensure you have the following:
Your Filevine login URL
Your Filevine account email address
Your Filevine account password
An authenticator application configured for your Filevine account
Supported authenticator apps include:
Google Authenticator
Microsoft Authenticator
Authy
Other compatible TOTP authentication applications
Retrieving Your Filevine TOTP Secret
Before connecting Filevine to ProPlaintiff, you'll need to retrieve your TOTP Secret from your Filevine account. This secret is required to securely authenticate your Filevine integration.
Step 1: Open Your Filevine Account Settings
Log in to your Filevine account.
Click your profile icon in the upper right corner.
Select Manage My Account.
This will open the Account Manager.
Step 2: Open the Security Settings
In the left navigation, click Security.
Scroll down to the Multi Factor Authentication section.
Locate Authenticator App.
Click the three-dot (⋮) menu.
Select Edit.
Step 3: Display the Manual Setup Key
After selecting Edit, Filevine displays a QR code for your authenticator application.
If you prefer to copy the authentication secret manually:
Click Can't scan the QR code? Enter manually.
Filevine will display your manual setup key.
Step 4: Copy Your TOTP Secret
Copy the setup key displayed on the screen.
This setup key is your TOTP Secret.
Important: Save this value in a secure location. You'll need it when configuring the Filevine integration inside ProPlaintiff.ai.
After copying your TOTP Secret, return to ProPlaintiff to complete the Filevine connection.
Connecting Filevine to ProPlaintiff
Navigate to Settings > Connected Apps.
Select Filevine.
Enter:
Filevine Login URL
Email Address
Password
TOTP Secret (retrieved above)
Click Connect.
The Filevine integration requires a TOTP (Time-Based One-Time Password) Secret generated through your authenticator app. You must have two-factor authentication (2FA) enabled in Filevine before beginning the setup process.
Configuring the Filevine Integration
To connect Filevine, you will need to complete all four required fields:
1. Login URL
Enter the URL you use to log in to Filevine.
2. Filevine Email
Enter the email address associated with your Filevine account.
3. Filevine Password
Enter your Filevine account password.
4. TOTP Secret
Enter your Time-Based One-Time Password (TOTP) Secret.
The TOTP Secret is required for authentication and secure access to your Filevine account.
After completing all four fields, click Save Filevine Settings.
Once saved, the integration status will change to Configured.
What is a TOTP Secret?
A TOTP (Time-Based One-Time Password) Secret is generated when you set up two-factor authentication (2FA) on your Filevine account.
To obtain a TOTP Secret:
Enable two-factor authentication within Filevine.
Filevine will generate a QR code containing a shared secret.
Scan the QR code using an authenticator app such as:
Google Authenticator
Microsoft Authenticator
Authy
Your authenticator app will generate rotating verification codes based on this secret.
You may need to access the underlying secret from your authenticator setup depending on your firm's authentication configuration.
If you are unsure where to locate your TOTP Secret, contact your firm's Filevine administrator.
Connecting to Filevine
After saving your Filevine settings:
Click Connect Filevine.
ProPlaintiff will begin scanning your Filevine account for available projects.
A notification will appear in the bottom-right corner of the screen:
"Refreshing Filevine projects. Scanning Filevine for new or updated matters."
The initial synchronization may take several minutes depending on the number of projects in your Filevine account.
Viewing Available Filevine Projects
Once synchronization is complete:
The Select a Filevine Project section will populate with available matters.
Use the search bar to locate a specific project.
Review project details including:
Project Name
Client
Phase
Project Number
Import Status
Importing a Filevine Project
To import a matter:
Select the desired Filevine project.
Click Import Selected Project.
The project will be imported into ProPlaintiff and made available for case management, document generation, and AI-assisted workflows.
Refreshing Projects
Filevine projects are cached after the initial sync.
To check for new or updated matters:
Click Refresh.
ProPlaintiff will perform a new scan of your Filevine account.
This ensures newly created or updated Filevine matters are available for import.
Disconnecting the Integration
To disconnect Filevine:
Return to the Filevine configuration page.
Click Disconnect or Remove Integration.
Disconnecting Filevine will stop future synchronization between Filevine and ProPlaintiff.
Troubleshooting
No Projects Appear After Connecting
Verify your Login URL, email, password, and TOTP Secret.
Click Refresh to perform a new scan.
Confirm your Filevine account has access to active projects.
Authentication Errors
Ensure your TOTP Secret is entered correctly.
Verify your Filevine credentials are current.
Re-enter all four fields and save the settings again.
Missing Recently Created Matters
Click Refresh to scan for newly created or updated projects.
Allow several minutes for synchronization to complete.
